Why Companies Rent Instead of Buying

Renting a portable cabin is, in practice, a decision about cash flow rather than a decision about buildings. A cabin you buy sits on your balance sheet for years, depreciates whether or not the project is running, and becomes your problem to store, repaint and transport between sites. A cabin you rent is a monthly line item that starts when the site opens and stops when it closes. For a contractor running an 11-month civil package, a developer holding a sales office open for one launch season, or an event company that needs eight units for four days, that difference is the entire business case.

Porta Cabin Systems keeps a live rental fleet of site offices, security cabins, container offices, storage containers, toilet blocks, bunk houses and event washrooms. Every unit in the fleet is refurbished between hires — repainted, resealed, rewired where needed and tested — so what arrives at your site is a working cabin, not a used one. Units are delivered on our own transport, placed with a crane or hydra where access allows, and picked up at the end of tenure. Between those two dates, structural repairs, leak fixes and electrical faults are ours to handle, not yours.

We rent across Karnataka from our Bangalore yard, and across the rest of India through project-based mobilisation. Bangalore, Hoskote, Devanahalli, Whitefield, Sarjapur, Doddaballapur, Nelamangala, Tumkur, Narasapura, Chikka Tirupati and Budigere are served from stock, usually within 3–7 working days. Chennai, Coimbatore, Hyderabad, Pune, Mumbai, Ahmedabad, Delhi NCR and other metros are served on a per-project basis with tenure and unit-count minimums.

What a Rental Actually Costs — The Full Breakdown

The monthly figures in the table above are the rent alone. A first invoice on a rental typically has four parts, and it helps to see all of them before you compare quotes.

  • Monthly rent

    Charged per unit, per calendar month, in advance. Part-months are pro-rated at 1/30th per day after the minimum tenure is met.

  • Refundable security deposit

    Security deposit is confirmed in the quotation based on the cabin type, quantity, rental tenure and site requirements. Fully refundable at pickup after inspection, less any charges for damage beyond fair wear. The deposit is not adjusted against rent during the tenure.

  • Transport — in and out

    Charged both ways, based on distance from the nearest yard, unit size and the vehicle required. A 10×10 ft cabin travels on a single-axle truck; a 40 ft container office needs a trailer and a permit on some routes. Within Bangalore city limits, transport is typically ₹4,000–₹12,000 each way per unit; outstation moves are quoted per km.

  • Placement and lifting

    Crane or hydra charges where the unit cannot be rolled or slid into position. Most sites need 30–90 minutes of hydra time per unit.

Optional add-ons that sit outside the base rent: air conditioning, furniture packages (desk, chairs, cupboard, meeting table), inverter or DG backup, extra power points, partitioning, external branding and wraps, staircases and landings for stacked units, and periodic housekeeping for toilet blocks.

Slabs are indicative and confirmed in your written quote. GST is charged on rental invoices as applicable, and registered businesses can normally claim input tax credit — one of the quieter advantages of renting over buying.

Where the crossover sits

The Rent-vs-Buy Arithmetic, Worked Out

The usual question is “at what point does renting stop making sense?” For most unit types the crossover sits somewhere between 18 and 30 months, and it moves depending on whether you can redeploy the cabin afterwards.

Take a standard 20 ft portable office cabin. Rented at roughly ₹12,000–₹15,000 a month, twelve months costs about ₹1.5–1.8 lakh with maintenance, delivery and pickup covered. The same cabin bought outright is a one-time capital outlay, after which you own an asset that needs storage between projects, transport every time it moves, repainting every couple of years, and repairs at your cost.

Renting wins when

  • The project has a defined end date under 18 months
  • You have no yard to store cabins between projects
  • You cannot get capital expenditure approved but can get an operating budget approved
  • The site is far from your base, and moving your own cabin there and back costs more than hiring locally
  • You need the unit fast and cannot wait for a build slot
  • Requirements may change mid-project — more units, fewer units, a different configuration

Buying wins when

  • The cabin will be used for two years or more
  • You run continuous back-to-back projects and can redeploy it
  • You want a specification that is genuinely yours — branding, layout, fittings

Rent-to-own exists precisely for the cases that don't sit cleanly in either column. A pre-agreed share of every month's rent accrues as credit against the purchase price. If the project extends and ownership starts to make sense, you convert, pay the balance and keep the cabin. If it ends on schedule, you hand the cabin back and owe nothing further. You are not forced to guess correctly on day one.

Security and Watchman Cabins

(4×4 ft to 6×6 ft)

Single-occupant cabins for gate duty. MS structural frame, pre-painted GI or PUF sandwich panel walls, sloped roof, one door with a lock, sliding or fixed glass window with grill, one light point and one 5A socket. Optional: fan point, wall-mounted seat, external company branding. Light enough to be placed by four people on most sites, which keeps mobilisation costs low.

Typical hire: ₹2,500–₹5,000 per month

Portable Office Cabins

(10×10 ft to 20×10 ft)

The workhorse of the fleet. PUF sandwich panel construction, 50 mm panel standard for insulation, vinyl or plywood flooring, powder-coated frame, glazed windows with grills, and a lockable main door. Wired for lights, fans, 5A/15A sockets and an AC point on the units specified for it. The 20×10 ft units can be internally partitioned into a cabin and an open desk area. Suitable for engineers' offices, project managers, QA/QC rooms, first-aid rooms and small meeting spaces.

Typical hire: ₹6,000–₹15,000 per month

Container Site Offices

(20 ft and 40 ft)

Converted shipping containers, structurally the strongest option in the fleet and the right choice for sites that need to lift, stack or move the unit repeatedly. Standard conversion: insulated walls and ceiling, vinyl flooring, windows with grills, a personnel door, electrical wiring with a distribution board, and lighting. The 40 ft furnished variant typically arrives with workstations, chairs, a meeting table and a storage cupboard, and can carry a partitioned manager's cabin with its own AC. Stackable two high with proper landings and staircases.

Typical hire: ₹8,000–₹15,000 (20 ft) and ₹15,000–₹30,000 (40 ft furnished) per month

Storage Containers

(10 ft to 40 ft)

Weatherproof, lockable storage for tools, materials, spares and site records. No windows by design, ventilation grills fitted, container-lock arrangement, and a raised floor. Popular for cement, fittings, electricals and anything that must stay dry through monsoon.

Typical hire: ₹4,000–₹12,000 per month

Portable Toilet Cabins

(Single seat to 4-seat blocks)

Available as Indian WC, Western WC or mixed configuration, with wash basins, exhaust ventilation, an overhead water tank and a waste outlet that connects either to a septic tank or to a holding tank you can have pumped out. Multi-seat blocks are the standard requirement for labour-heavy sites and are usually specified alongside bunk houses. Housekeeping can be added as a scheduled service.

Bunk Houses

(8 to 16 beds)

Labour accommodation with bunk beds, adequate ventilation, lights and fan points, and a lockable door. Usually hired together with toilet blocks and a storage unit to form a complete labour camp. Configurations from 20 ft to 40 ft depending on headcount.

VIP Event Cabins and Washrooms

(Per event day)

The premium end of the fleet, specified for guest-facing use: better finishes, vanity units with mirrors and lighting, ceramic sanitaryware, AC where required, and clean external panelling that photographs well. Hired per event day rather than per month.

Ten minutes of checking

Before We Deliver — Site Readiness

A cabin delivery goes wrong far more often because of the site than because of the cabin. Ten minutes of checking in advance avoids a wasted trip and a demurrage charge.

Ground

The placement spot should be level, firm and drained. Loose soil, fresh fill and low-lying pockets that hold water in monsoon are the usual problems. Level plinths, concrete pads or compacted murram with sleeper blocks all work. Units are set on blocks or a plinth rather than directly on soil.

Access

Confirm the widest vehicle that can reach the spot, the turning radius available, the height of any gate, cable, tree branch or canopy on the route, and whether there is space for a hydra or crane to set up alongside. A 40 ft trailer needs a genuinely wide approach — this is the single most common cause of failed deliveries.

Permissions

Society, industrial estate, campus or municipal permissions, night-entry restrictions and any security clearance for the driver and crew should be arranged before the delivery date.

Power

We wire the cabin internally; you provide the supply point. Confirm the distance from your DB to the placement spot, the phase and load available, and whether earthing is in place. Sites relying on DG backup should confirm spare load capacity before adding AC units.

Water and drainage

For toilet units, confirm the water source and the outlet arrangement — septic connection, soak pit or holding tank — before delivery. This is what decides where the block can physically stand.

Anchoring and weather

In high-wind areas and through monsoon, units are anchored or weighted. Tell us if the site is exposed, coastal or on high ground so we specify the tie-down at the time of delivery rather than after the first storm.

Where the line sits

Maintenance, Damage and What “Fair Wear” Actually Means

Maintenance being “included” is only useful if both sides know where the line sits. Here is ours, in plain terms.

Covered by us, at no extra charge

Structural repairs to the frame and panels, roof and joint leaks, failure of factory-fitted electrical fittings such as switches, sockets, light points and the distribution board, door and window hardware failure under normal use, hinges, locks and latches that wear out, and paint or sealant degradation from ordinary weather exposure. If a fault cannot be repaired on site within a reasonable window, we replace the unit.

Chargeable to the hirer at pickup

Impact damage from vehicles, machinery or lifting equipment; broken or cracked glazing; missing doors, windows, fittings or keys; burns, and damage from cooking or open flame inside a unit not specified for it; unauthorised structural modification — cutting openings, welding onto the frame, drilling through panels for third-party fixings; damage from overloading the electrical system beyond its rated capacity; theft of fittings; heavy staining, adhesive residue or paint applied without agreement; and units returned needing deep cleaning beyond ordinary use.

Fair wear, which is never charged

The things a cabin picks up simply by being used: minor scuffs and marks on walls and flooring, small dents that do not affect structure or weatherproofing, sun fading of paint, and general settling of the finish over a long tenure.

Raising a repair

Call or WhatsApp the site issue with photographs. Bangalore and surrounding cluster sites are typically attended within 24–48 working hours; outstation sites are attended according to the response window written into your agreement. Where a repair needs the unit out of service, a replacement unit is arranged so the site keeps working.

Photo handover both ways

Condition is photographed and shared at delivery and again at pickup, so the deposit settlement is a comparison of two documented records rather than a discussion of recollections.

The paperwork

Deposits, Paperwork and Billing

Agreement
A written rental agreement covers the unit list and specification, tenure, monthly rate, deposit amount, delivery and pickup responsibility, maintenance scope, notice period and termination terms. It is issued digitally and can be signed electronically. Nothing is charged that is not in the agreement.
Deposit
Collected before dispatch, refunded after pickup and inspection, typically within 7–15 working days of the unit returning to the yard. Deductions, if any, are itemised against the handover photographs.
Invoicing
Rent is invoiced monthly in advance with GST as applicable. GSTIN 29BHNPA6577M1ZK. Registered businesses can normally claim input tax credit on rental invoices — worth flagging to your finance team, since it changes the effective cost against a purchase.
Documents we usually need from you
Company GSTIN, a PAN or company registration copy, a work order or site reference, and a site contact with a phone number for delivery coordination. For long tenures on client sites we can also issue site-specific documentation as required.
Extending, adding, reducing
Extensions are confirmed in writing before the current tenure ends and normally continue at the same rate. Additional units are added by amendment at the prevailing rate. Returning units early inside the minimum tenure is treated per the notice terms in your agreement; after the minimum tenure, notice is short and units can be released as the site winds down.
