How a Cabin Hire Runs, Start to Finish
**Tell us the duration honestly.** Not the optimistic programme, the realistic one. Hire pricing depends on term, and a longer commitment prices better than a short one. Saying six months when you suspect it is really a year usually costs more in the end, because an extension is priced separately from the original hire. **We quote the monthly rate, and the things that sit outside it separately.** The rate covers the cabin. Bringing it in, unloading and placing it, taking it away at the end, and any fit-out beyond the standard unit are separate items. Ask for them broken out, from us or from anyone you are comparing us with, so you are looking at the same thing twice rather than at two different things. **A deposit is taken, and it is refundable.** It stands against damage beyond fair wear and is settled once the cabin has come back. The amount and the return timeline are written into the agreement. Read that part before signing, with us or with anybody. **Delivery and placement work the same as a purchase**, with one addition: the condition of the unit is recorded at handover, which protects both sides at the end. **During the hire**, day-to-day cleaning, keeping it locked and not loading an office cabin as though it were a store are yours. Anything that fails through normal use is ours. Damage from an incident on site is a conversation rather than an automatic charge, but a conversation we would far rather have with photographs than with recollections. **At the end we collect.** The cabin is inspected against the handover record, the deposit is settled, and that is the end of it.
What the Monthly Rate Covers, and What Is Quoted Apart From It
The monthly figure is for the cabin. It is not a delivered-and-installed figure, and a quotation that presents it as one has folded movement costs into a rental line where you cannot see them. Quoted apart from it, and worth insisting on as separate lines: bringing the unit in, unloading and setting it down, taking it away again at the end, and any fit-out above the standard unit — extra points, partitioning, cooling, furniture. Two hire quotes only become comparable once both are broken out this way. One supplier folding transport into the monthly rate and another pricing it once at each end can look like a large difference in the rate and turn out to be almost no difference in what you pay across the term. What drives the rate itself is size, how the unit is fitted out, and the length of term you are committing to.
The Condition Record at Handover
When the cabin is set down, its condition is recorded: photographs and a signed note, agreed by both sides. It takes a few minutes and it is the most useful piece of paper in the whole arrangement. The single most useful thing you can do: photograph the cabin inside and out on the day it arrives, and again on the day it leaves. Five minutes on your phone. It removes almost every argument that ever arises at the end of a hire, and it works in your favour more often than ours. Reasonable wear across a long hire is expected and is not charged for. A panel cut through for a cable run, and not mentioned at the time, is a different matter. The difference between those two things is far easier to establish from a photograph taken on day one than from two recollections a year later.
Repairs and Damage While the Cabin Is With You
The split is worth having in writing before anything goes wrong, and it comes in three parts. Anything that fails through normal use, and anything structural, is ours to put right. Day-to-day care — cleaning, keeping it locked, using the cabin as the thing it was specified as — is yours. Damage from an incident on your site sits between the two and is dealt with case by case. That third category is where hires turn sour, and it is why we would rather look at photographs than raise a charge from a description. An accident on a working site is not unusual and is not treated as though it were. Get the split written into the agreement rather than agreed verbally. Not because a dispute is expected, but because the person who signed the hire is very often not the person standing in the yard on the day the cabin goes back.
Questions to Put to Any Hire Company
Ask these of whoever you hire from, ourselves included. If a supplier is vague on more than one of them, that is worth knowing now rather than in month seven. What is the minimum term, and what happens if the unit goes back early? Some agreements charge the balance of the term and some do not. Know which one you are signing. Is bringing it in and taking it away included, or extra? Both are legitimate answers. Being unclear about it is not. Who repairs what — the split between normal wear, structural failure and site damage. How much is the deposit, and how many days after collection is it settled? What notice is needed to extend, and what notice to return? How is condition at return decided, and by whom? A joint inspection against a handover record beats one party's opinion. And what counts as fair wear? Vagueness on that question is where most end-of-hire disputes begin. Can the unit be repositioned within the site during the hire, and what is the process for arranging it?
If the Project Runs Longer Than Planned
Projects run late. Nobody in this trade is surprised by it, and an extension is almost always possible. What makes the difference is when you say so. Given notice, an extension is treated as a continuation of the hire you already have. Raised in the final week, it becomes a question of whether the unit can be released from wherever it was promised next, and it prices accordingly.
